Giving & Stewardship

The financial module of Church Ledger is built to ensure every cent given to the ministry is tracked with the highest degree of accuracy and transparency.

Managing Contributions

Manual Entry

For physical offerings (cash/checks) received during services:

  1. Navigate to Finances > Contributions.
  2. Click New Record.
  3. Select the Member (or mark as "Anonymous Visitor").
  4. Choose the Fund (General, Building, Missions, etc.).
  5. Enter the Method (Cash, Check #, etc.) and the Amount.
  6. Save and Verify.

Handling Checks

When entering checks, always include the check number in the "Reference" field. This is critical for automated reconciliation if a check is later returned.

Funds & Allocation

Funds allow you to categorize giving for specific ministry goals.

  • General Fund: Daily operations, utilities, and staff.
  • Restricted Funds: Giving designated by the donor for a specific purpose (e.g., "Youth Trip 2024"). Under stewardship laws, these must be tracked separately and not used for general expenses without donor consent.

Month-End Reconciliation

A "True Ledger" requires regular reconciliation. At the end of each month:

  1. Closing the Batch: Ensure all services for the month have had their physical offering bags entered into the system.
  2. Bank Matching: Export the contribution report and match the "Cash/Check Total" against your bank deposit slips.
  3. Discrepancy Resolution: If a deposit doesn't match the ledger, use the Audit Log to see who entered the records and check for entry errors.

Tax Compliance & Statements

Church Ledger simplifies the generation of annual tax-ready giving statements.

Generating Statements

  1. Go to Reports > Annual Statements.
  2. Select the Tax Year.
  3. Click Generate All.
  4. The system will create individual PDFs for every member with a total exceeding the legal threshold for reporting.

IRS/Legal Standards (USA)

[!NOTE] For US-based churches, ensure your statements include the legal disclaimer: "No goods or services were provided in exchange for these contributions, other than intangible religious benefits." Church Ledger includes this by default in the PDF template.

Advanced Stewardship Tips

Trend Analysis

Use the Giving Dashboard to monitor month-over-month trends. A sudden dip in giving across multiple demographics might indicate a pastoral need or a significant life event for a major donor group that requires outreach.

Soft Credit

If a member gives through a family foundation or a business, use the Soft Credit feature to link the gift to their personal spiritual profile while maintaining the legal business record for the tax receipt.
